Data Deletion Instructions
How to delete your data from Wazigo — whether you run a business on it, work on someone's account, or received a WhatsApp message from a business that uses it.
Contents
In a hurry? If you received a WhatsApp message from a business and want
it to stop right now, reply STOP to that conversation. It takes effect
immediately. Then read section 3 for how to have your data
deleted as well.
1. Which set of instructions applies to you
Three different people ask us this question and the answer is different for each. Find yourself in this table.
| You are | Go to |
|---|---|
| A business with a Wazigo account, closing it down or removing specific data | Section 2 |
| Someone who received a WhatsApp message from a business that uses Wazigo | Section 3 |
| A team member (agent or supervisor) on somebody’s Wazigo account | Section 4 |
2. If you run a business on Wazigo
2.1 Delete specific data yourself, from inside the app
You can do all of this at any time without contacting us:
- A conversation or a message — open the conversation in the Inbox and delete it.
- A contact’s attributes, notes or list membership — open the contact and edit or remove them.
- An uploaded contact file or a broadcast — delete it from the relevant screen.
- A team member’s account — Settings → Team → remove the user.
- Your WhatsApp connection — Settings → WhatsApp → Disconnect. This deletes the stored access token and app secret immediately, and we stop sending or receiving on that number.
Contacts are opted out, not deleted. Wazigo does not let you
delete a contact record outright, and that is deliberate. A contact who replied
STOP must stay on file, or the next import would add them back and message
them again — which is exactly the mistake that gets WhatsApp numbers banned. Opting
a contact out removes them from every future send while keeping the evidence that they
asked you to stop. If you need a contact record erased entirely rather than opted out,
ask us at info@wazigo.io and we will do it
manually.
2.2 Close your account and delete everything
Account closure is handled by us so that we can confirm it is really you asking.
-
Export anything you want to keep first. Contacts export to CSV from the Contacts screen. Once deletion runs, it cannot be undone.
-
Disconnect your WhatsApp Business Account in Settings → WhatsApp. This is worth doing yourself so the token is gone from the moment you decide, not from the moment we process the request.
-
Email info@wazigo.io from the address registered as the account owner, with the subject
Account deletion request. Tell us the business name and the WhatsApp number on the account. -
We verify and confirm. We acknowledge within 72 hours and may ask you to confirm from the owner’s registered email or the registered mobile number. We will not delete a business’s data on the word of somebody we cannot identify.
-
We delete. Deletion completes within 30 days of verification. Encrypted backups containing the data are rotated out within a further 90 days, after which no copy remains.
2.3 What gets deleted, and what we are required to keep
| Data | What happens |
|---|---|
| Conversations, messages and re-hosted media | Deleted |
| Contacts, lists, segments, custom attributes and notes | Deleted |
| Templates, broadcasts, campaigns and automations | Deleted |
| Users, roles and sign-in records | Deleted |
| WhatsApp access tokens and app secrets | Deleted immediately on disconnection |
| API keys and webhook endpoints | Deleted — further API calls are rejected |
| Invoices, payment records and GST filings | Kept for eight years. Indian tax and companies law requires it; we cannot delete these on request |
| Marketing opt-out records | Kept. A minimal record (the number and the fact that it opted out) survives, because it is the evidence that somebody asked not to be messaged |
| Security and access logs | Aged out on the normal 180-day cycle |
2.4 What we cannot delete for you
- Anything held by Meta. Your WhatsApp Business Account, your message history on Meta’s systems and your templates live with Meta. Delete those through Meta Business Manager, or ask Meta directly.
- Messages already delivered. A WhatsApp message on somebody’s phone belongs to them. Nothing we do removes it.
- Data in your own systems. If you pushed contacts to Wazigo from a CRM, shop or spreadsheet, deleting from Wazigo does not touch the original.
3. If a business messaged you on WhatsApp
Wazigo is the software that business uses to send WhatsApp messages. The business chose to message you and controls your data; we hold it on their instructions. That shapes what each of us can do for you.
3.1 Stop the messages — immediate
Reply to the conversation with any of these. It takes effect at once and permanently, and the business cannot reverse it:
STOP,UNSUBSCRIBE,OPT OUTband karo,बंद करोand similar Hindi or Hinglish phrases- the Stop promotions button WhatsApp shows underneath marketing messages
This blocks marketing. Messages you have asked for — an order confirmation, a delivery update, a one-time passcode — can still reach you, because stopping those would break transactions you are in the middle of. To stop everything from that number, block it in WhatsApp itself.
3.2 Have your data deleted
-
Ask the business. They decide what happens to your data, so this is the fastest and most complete route. Their name is on the WhatsApp business profile you were messaged from.
-
If they do not respond, or you cannot tell who they are, write to us at info@wazigo.io with the subject
Data deletion request. Include:- the WhatsApp number you were messaged on (yours, with country code);
- the number or business name that messaged you, if you have it;
- roughly when the messages arrived.
-
We verify. We may ask you to confirm from the number in question, so that we do not delete somebody’s records for a stranger who asked.
-
We act. We acknowledge within 72 hours, notify the business, and erase your personal data from our systems within 30 days — keeping only the minimal opt-out record described above, so nobody can message you again by re-uploading a file. Backups rotate out within a further 90 days.
There is no charge for this and you do not need an account with us. If you are unhappy with how we handle it, write to info@wazigo.io again with “Grievance” in the subject line — that escalates it to our grievance officer, Akmal Faizan (Grievance Officer). You may then complain to the Data Protection Board of India.
4. If you are a team member on someone’s account
Your user record belongs to the business that invited you. Ask the account owner or an administrator to remove you in Settings → Team; that deletes your user profile and sign-in credentials.
Messages you sent while working there stay in the business’s conversation history — they are the business’s record of its own customer conversations, not your personal data, and removing them would leave holes in a compliance record we are required to keep.
If the business will not act, write to info@wazigo.io and we will handle it directly.
